HR QUICK GUIDE: Payroll


This HR Quick Guide is designed to help you with payroll questions. At UAB, payroll is part of Financial Affairs. Payroll and HR work so closely together because payroll and human resources go hand in hand.  The Financial Affairs website has the most up to date information about payroll, including systems and videos.


Here are the most common payroll questions for the HR Service Center:  



How do I set up or change my direct deposit? 

You can set up direct deposit in Oracle, within MyUAB. Oracle is the main system that holds personal information, like your address and direct deposit information. It feeds other systems including the UAB Directory and payroll. You’ll want to keep your personal information updated. To set up direct deposit, go to the Oracle myUAB and open the self-serve section. Instructions from the financial affairs website are here. If you have downloaded the UAB Mobile App, you can find Oracle in the app under Admin Systems. 


How often do we get paid?

UAB has two payroll cycles, a bi-weekly for non-exempt employees and a monthly for exempt employees. Non-exempt employees (employees who are eligible for overtime pay) ** keep up with their work hours in the Kronos system. It is important to keep track of time worked and off time. Exempt employees (employees who are paid a standard rate and are not eligible for overtime pay) are paid monthly on the last day of each month. 


*Overtime expense is closely monitored. Any overtime must be approved by your manager prior to working it.

Notes: Email is the best way to reach Payroll. Payroll Services is staffed from 8 a.m. - 4:30p p.m. The Administration Building 1st Floor Service Center has a self-serve station where employees can print pay slips, W-2's, etc. The Administration Building is located at 701 20th Street South. Short term visitor parking is available in the deck of the building located on the 2nd level. 

 

I have questions about my W-2. Can you direct me?

A W-2 tax form shows the amount of taxes withheld from your paycheck for the year and is used to file your federal and state taxes. The payroll department creates W-2 forms. Current employees can see and print their W-2s by logging into Oracle Self Service.  For more on viewing your W-2, see the call out section on the right side of this screen. 


Are you a former employee? If you have an incorrect address on your W-2, you can correct it through Records Administration. Once corrected, contact the Payroll Customer Service team at payhelp2@uab.edu to request that your W-2 be mailed. Still have questions about W-2s? Contact payhelp2@uab.edu.


I am a new hire. How do I get set up to get paid?  

Get set up in our Oracle Administrative System. To open the application, you must have your BlazerID. Once you have applied for your BlazerID, allow at least 24 hours before starting your Oracle process. Your department will complete paperwork that makes you eligible for either bi-weekly or monthly payroll. Your department manager or administrator can help you with any questions about new hire paperwork and payroll procedures. 


How do I confirm my payroll information? 

You can see your pay stubs and W-2s in Oracle Self-Serve. If you need information for a bank, or government agency as part of a credit or mortgage application, etc., UAB uses an outside vendor to process those requests. To see more on the work number, see the Records Department site. 


What UAB computer systems are connected to payroll? 

Kronos, Oracle and eLAS.


Kronos is our timekeeping system for nonexempt employees. 

Oracle is our HR and Finance system that houses your personal information including address and direct deposit information.

eLAS is our system for tracking time off for exempt employees.


All of these systems can be accessed through the MyUAB page.
